Redesign those activities or create parallel tracks so everyone can participate equally.

Are all visuals shared digitally?

Add a Miro/Mural board or shared doc equivalent so remote participants can see everything.

Turn-Taking Structure

Do you have explicit protocols for who speaks when?

Open discussion favors in-person participants. Add structure.

Breakout Equity

Are breakout groups mixed modality?

Segregated breakouts create two separate experiences. Always mix.

Facilitator Visibility

Is the facilitator on camera throughout?

Remote participants need to see you to read cues.

Audio Quality

Has audio been tested from remote participant perspective?

Room discussions often get lost. Test with an actual remote participant.

Have breakout rooms and screen sharing been tested?

Tech failures disproportionately affect remote participants.

Named Turns

Are you using named turns instead of open questions?

Open questions = in-person participants respond first. Name people.

Chat Rhythm

Are you checking chat every 3–5 minutes?

Inconsistent chat monitoring = missed remote contributions.

Speaker Alternation

Are you alternating between in-person and remote speakers?

Without alternation, in-person voices dominate.

Equal Airtime

Are remote participants getting roughly equal speaking time?

If unbalanced, pause and directly invite remote voices.

Inclusive Conclusions

Are remote voices included in conclusions and decisions?

Decisions made without remote input = remote as afterthought.

Quick Fixes for Common Gaps

No turn-taking protocol? Add round-robin for check-ins, debriefs, and reflections
Physical whiteboard planned? Replace with Miro board or shared Google Doc
Open Q&A on agenda? Change to "named turns Q&A" — call on specific people
Segregated breakouts? Manually assign mixed groups (1 in-person + 2 remote)
No chat monitor? Assign someone or build in explicit "chat check" moments
