Key questions to ask:

  • Where do designs get lost or misunderstood?

  • What do you wish you knew earlier?

  • Where do you waste time?

  • What tools help or hinder?


Common pain points:

  • Designs lack specs or context.

  • Unclear component naming.

  • Changes after 'final' handoff.

  • No feedback from development.


  1. Workflow Discovery (20 minutes)


  • Identify all steps from design inception to production.

  • Include design, review, handoff, development, QA, and launch.

  • Note who owns each step.

  • Document tools used.


  1. Current State Mapping (25 minutes)


  • Map the ideal workflow.

  • Layer in workarounds, bottlenecks, and shortcuts.

  • Note breakdowns.

  • Capture time spent at each stage.


  1. Pain Point Identification (20 minutes)


  • Mark pain points on the map.

  • Rate by severity and frequency.

  • Interview team members about frustrations.

  • Identify root causes.


  1. Opportunity Design (20 minutes)


  • Brainstorm improvements for top pain points.

  • Consider tools, processes, and communication.

  • Evaluate feasibility and impact.

  • Prioritize improvements.


  1. Documentation & Planning (5 minutes)


  • Capture the workflow map.

  • Document prioritized improvements.

  • Assign ownership and timelines.

  • Schedule follow-up.
